Planning Schedule

Sonesta St. George Hotel Luxor encourages planners to outline a preliminary program at the initial contract signing phase. Upon receipt of said contract, our catering & conference management department will send a letter of introduction to the appropriate party providing contact information and a detailed description of our services.

We invite the planner to contact the hotel at any time prior to arrival. Our conference service department will make an initial telephone call approximately 60 days prior to the group's arrival. At that time, discussion will commence on a specific itinerary of activities and locations of meetings and functions.

Once the hotel receives a tentative itinerary, we will send a preliminary group agenda of the program. A copy of this program will be provided to all hotel departments. Final itinerary will be completed 20 days prior to arrival, so that it may be reviewed at the hotel's weekly staff meeting.

Pre-Convention and Post-Meeting Review 

Group meeting planners are requested to meet with the director of catering & conference management prior to the arrival of the group to review all final arrangements. We recommend scheduling a pre-conference department head meeting with planners of groups exceeding 100 rooms. A post-event meeting is always requested at the convenience of the meeting planner, to review any comments regarding the hotel's performance.

Reservation Policies

Check-in time:  2:00 p.m. Checkout time: 12:00 p.m. Anyone checking out after 12:00 a.m. may incur a late checkout charge. Anyone checking out between 1:00 p.m. - 6:00 p.m. may incur a half-day charge. Anyone checking out after 6:00 p.m. will incur a full-day charge. If a guest finds it necessary to checkout after 12:00 noon on the day of departure, arrangements may be made with the bellmen or front desk personnel for luggage storage until he/she is ready to depart. Special group arrangements may be made with the director of catering & conference management.

Rooming List

All reservations received by rooming list are guaranteed to the master account. When possible, please provide arrival and departure times to facilitate check-in and checkout, as well as indication of smokers and non-smokers.

Reservation Procedures

All reservations must be received four weeks prior to your group's arrival. Reservations received after the cut-off date will be confirmed on a space available basis. All reservations received by rooming list are considered guaranteed. No-shows will still be charged to the group's master account.

Cancellation Policies

Reservations may be cancelled up to 72 hours prior to arrival. If cancellation occurs within 72 hours of arrival, the hotel reserves the right to charge one night's room and tax. During peak season and special event dates, a deposit may be required three weeks prior to the arrival date. If the hotel has not received the deposit, we reserve the right to cancel the reservation.

Credit Cards

American Express, VISA and MasterCard are accepted as payment at Sonesta St. George Luxor Hotel. American Express, MasterCard and VISA can be used to guarantee room reservations.

Group Billing Instructions

Upon receipt of agreement, the hotel provides a billing instruction form to determine and clarify how the sleeping accommodations, room charges, food and beverage functions, recreation, incidentals and miscellaneous charges are to be settled.

The billing instruction form provides an opportunity to specify exactly what charges are to be billed to the master account and who is authorized to sign. All accounts are payable at checkout.

Once the conference is being held at the hotel, every effort will be made to present food and beverage function checks and all other charges to the authorized person for signature prior to posting to the master account. Our billing coordinator will be happy to meet with the meeting planner prior to the meeting to review billing instructions and is available by appointment to review the master account prior to the group's departure.
